This article shows a user how to view their Advisees in Workday. Quick Search: My Advisees for Advising Step 1: Open the Global Navigation menu (the icon) on the left side of the Workday Today homepage. Step 2: Select Advising in the Apps section on the Workday homepage. Step 3: Select the My Advisees tab on the Dashboard Step 4: Select a student’s name to view their profile. Edit an Academic Plan in Workday
An Academic Plan is a guide that helps a student plan their academic path to satisfy all their academic requirements and complete their Program(s) of Study. Note: Your Academic Plan is not meant to be used as a degree audit tool. Please refer to your Academic Progress tab to view your Academic Requirements. Edit an Academic Plan in Workday Step 1: Select your profile image on the Workday homepage, then select View Profile. Note: If you have an active campus job, make sure you have selected your student profile before continuing to step 2. In the box housing the links to your Worker and Student profiles, select your name under your student profile. Step 2: Select Academics. Step 3: From Overview tab, navigate to Plan tab view, then select Update Plan. Step 4: When you have made your desired edits to the Academic Plan, select OK. Step 5: The following page shows the edited Primary Academic Plan. Click Done when finished. Adding Academic Requirements and Courses Step 6: To add a course to an Academic Period, select the plus (+) icon and enter or search for the Academic Requirement by selecting the bullet list icon. Step 7: Enter or search for Course Name using the bullet list icon. The Course field will usually populate with a list of courses that apply to the selected Academic Requirement. In some instances, Workday will display “Error: Too many results. Refine search to narrow results.” in the Course list. When this occurs, enter a subject abbreviation to receive a filtered list of courses. Step 8: Once Academic Period, Academic Requirement, and Course are selected, the Units and Status fields will automatically update based on the entered information. Rearranging Academic Plan Courses If there are courses generated into your Academic Plan that you plan to take in a different Academic Period, please follow the next steps. Step 9: Select the minus (-) icon of the course you wish to move from one Academic Period to another. Step 10: Select a new Academic Period for the course and add it by selecting the Academic Requirement, then Course name. Adding/Removing Semester Academic Periods Step 11: To expand or hide specific academic periods, select the arrow next to the Semester Academic Calendar. To add additional academic periods, select the plus (+) icon then enter or search for Academic Period in the drop-down menu by using the bullet list icon. Step 12: To remove an academic period from the auto-generated Academic Calendar years, select the minus (-) icon located next to the Academic Period. Course Enrollment Status Definitions Passed You have completed this course and received a passing grade. Did Not Enroll You did not enroll in this course in the assigned semester. Enrolled You are enrolled in this course for the current or upcoming semester. Eligible to Enroll You have not registered for this course, but you meet all the eligibility requirements to take the course. Eligible to Enroll – Planned You have not registered for this course, but you are taking courses that will allow you to enroll in this course in a future semester. Not Eligible You are currently not eligible, nor will you be eligible based on your Academic Plan. Experiencing an issue or need additional support? Override Academic Requirements in Workday: Add Course
This article will walk a user through using the Add Course Academic Override in Workday. Academic Requirements Override There are six types of Academic Requirement Overrides, all of which may be initiated by any of a student’s advisors. Assign Course to Requirement: The most commonly used of the overrides. Allows a course (already In-Progress or Completed) to be added and applied towards the requirement. Add Course: Allows a new course to be applied towards the academic requirement. Best used for courses a student has not yet enrolled in. Adjust Units: Allows the number of units on an academic requirement to be changed for a student. Adjust Course Count: Allows the number of courses needed to fulfill an academic requirement to be changed. Course Substitution: Allows a specific course to be removed from an academic requirement and replaced with a different course. Additionally, this allows a specific course to be removed without a replacement. Waive Requirement: Allows the student to no longer need the entire academic requirement. How to Apply an Academic Requirement Override in Workday Add Course Allows a new course to be applied towards the academic requirement. Quick Search: Override Academic Requirement for Student Step 1: From the Workday homepage, enter Student’s Name in the search bar. Step 2: Select student’s Academics tab, then select Academic Progress. Step 3: Scroll down to the student’s Academic Requirements and select Related Actions icon next to the academic requirement you are modifying. Step 4: Select Academic Requirement located in the Actions section, then select Create Override. Step 5: On the Override Academic Requirement for Student page, select Add Course, then select OK. Step 6: Use the dropdown menus for the Eligibility Rule and Add Course. Under Add Course, choose from Courses by Course Subject or Courses with Valid Registrations for Override. Step 7: Once the information is entered, select Submit. Step 8: Click on the Process tab for the next steps in the process (in this example, the request routes to the student’s Faculty Advisor). Step 9: In the Faculty Advisor’s Inbox, the request can be reviewed, then select Approve. Step 10: Click on the Process tab to view the final step in the process (in this example, the request routes to the Academic Advising Manager). Step 11: The Academic Advising Manager reviews the request and selects Approve. The process is now complete. Step 9: In the Faculty Advisor’s Inbox, the request can be reviewed, then select Approve. Step 10: Click on the Process tab for the final step in the process (in this example, the request routes to the Academic Advising Manager). Step 11: Academic Advising Manager reviews the request and selects Approve. The process is now complete. Step 7: Once the information is entered, check the Alert then select Submit. Step 8: Click on the Process tab for the next steps in the process (in this example, the request routes to the student’s Faculty Advisor). Step 9: In the Faculty Advisor’s Inbox, the request can be reviewed, then select Approve. Step 10: Click on the Process tab for the final step in the process (in this example, the request routes to the Academic Advising Manager). Step 11: Academic Advising Manager reviews the request and selects Approve. The process is now complete. Adjust Course Count: Allows the number of courses needed to fulfill an academic requirement to be changed. How to Apply an Academic Requirement Override in Workday Course Substitution Allows a specific course to be removed from an academic requirement and either be replaced with a different course or removed without a replacement. Quick Search: Override Academic Requirement for Student Step 1: From the Workday homepage, enter Student’s Name in the search bar. Step 2: Select student’s Academics tab, then select Academic Progress. Step 3: Scroll down to the student’s Academic Requirements and select Related Actions icon next to the academic requirement you are modifying. Step 4: Select Academic Requirement located in the Actions section, then select Create Override. Step 5: On the Override Academic Requirement for Student page, select Substitute Course, then select OK. Step 6: Select course to be removed from the Required Course dropdown menu. There are two types of overrides that can be applied here (detailed in the following steps). Once the choices have been selected, select Submit. Step 7a: Alternate Course Set allows you to choose a substitute course to add to the requirement, replacing the original course. Courses can be searched by Course Subject or Courses with Valid Registrations for Override. Step 7b: Not Required allows you to remove the course from the requirement with no replacement. Step 8: Click on the Process tab for the next steps in the process (in this example, the request routes to the student’s Faculty Advisor). Step 9: In the Faculty Advisor’s Inbox, the request can be reviewed, then select Approve. Step 10: Click on the Process tab for the final step in the process (in this example, the request routes to the Academic Advising Manager). Step 11: Academic Advising Manager reviews the request and selects Approve. The process is now complete. How to Edit an Academic Requirement Override in Workday
This action is used to make changes to a completed Academic Requirement Override within a student’s Academic Progress tab and is initiated by an advisor or administrator. Step 1: From the Workday homepage, enter Student’s Name in the search bar. Step 2: Select student’s Academics tab, then select Academic Progress. Step 3: Scroll down to the student’s Academic Requirements and select Related Actions icon next to the academic requirement labeled “Override Assigned”. Step 4: Select Academic Requirement located in the Actions section, then select Edit Override. Step 5: On the Edit Academic Requirement Override for Student page, select Override Type: Assign Course to Requirement, then select OK. Step 6: Use the dropdown menus for Course Registrations to Apply, fill in the Units Assigned box, leave detailed comments in the Comments box, then select Submit. Step 7: Click on the Process tab for the next steps in the process (in this example, the request routes to the student’s Faculty Advisor because Academic Advisor initiated the action). Step 8: In the Faculty Advisor’s Inbox, the request can be reviewed, then select Approve. Step 9: Click on the Process tab for the final step in the process (in this example, the request routes to the Academic Advising Manager). Step 10: Academic Advising Manager reviews the request and selects Approve. The process is now complete. How to Remove an Academic Requirement Override in Workday
This action is used to delete a completed Academic Requirement Override from a student’s Academic Progress tab. This action is initiated by an advisor or administrator through the student’s Academic Progress tab. Step 1: From the Workday homepage, enter Student’s Name in the search bar. Step 2: Select student’s Academics tab, then select Academic Progress. Step 3: Scroll down to the student’s Academic Requirements and select the Academic Requirement labeled “Override Assigned”. Step 4: On the View Academic Requirement for Student page, scroll to the Overrides section to find the Academic Requirement Override you wish to remove, then select Remove Override. Step 5: Review the information, leave a detailed comment in the comment section, then select Submit. Step 6: Select View Details. Step 7: Select the Details and Process tabs to review the information. Select Done when finished. How to Rescind an Academic Requirement Override in Workday
This action is used to delete a completed Academic Requirement Override from a student’s Academic Progress tab. This action is accessed through the Archive tab in the advisor or administrator’s Workday Inbox. Step 1: Select the Inbox icon from the top navigation bar of the Workday homepage. Step 2: Select the Archive tab in the Workday Inbox. Select the Academic Requirement Override you wish to rescind, then select Rescind. Step 3: Describe the reason for rescinding the override in the Comments field, then select Submit. Step 4: Select View Details. Step 5: Select the Details and Process tabs to review the information. Select Done when finished. Step 6: The Academic Requirement Override has been successfully removed from the student’s Academic Progress. Experiencing an issue or need additional support?
